- Information collected through our AI Receptionist: When callers interact with our AI phone receptionist, we collect caller-provided information including name, phone number, property address, ZIP code, service type requested, and preferred appointment times. This information is collected on behalf of the business using our Service. Callers provide verbal consent during the call before their information is recorded or used for any communication.
- Usage data: Information about how you access and use our Services, including IP address, browser type, pages visited, and time spent on pages.
- Payment information: Payment processing is handled by Stripe. We do not store full payment card details on our servers.
2. How We Use Your Information
We use collected information to:
- Provide, operate, and maintain our Services
- Process and fulfill appointments and bookings
- Send transactional SMS and email communications related to your use of the Services, including appointment confirmations, reminders, and service updates
- Respond to inquiries and provide customer support
- Improve and develop our Services
- Comply with legal obligations
3. SMS Communications
Kyvero AI sends SMS text messages as part of its Services, including appointment confirmations, booking reminders, and service notifications. These messages are sent only to individuals who have provided express verbal or written consent to receive them.
SMS opt-in data and mobile phone numbers collected through our Services will not be sold, shared, rented, or disclosed to any third parties or affiliates for marketing purposes under any circumstances. This information is kept strictly confidential and is used solely to send the communications you have consented to receive.
Types of messages we send: Appointment confirmation messages sent immediately after booking, day-before reminders, and day-of notifications. Message frequency is typically 1–3 messages per appointment scheduled.
How to opt out: You may opt out of SMS communications at any time by replying STOP to any message we send. Upon receiving your opt-out request, we will immediately stop sending future messages to your number. No further action is required.

4. How We Share Your Information
We do not sell your personal information. We do not share mobile opt-in data or phone numbers with third parties for marketing purposes. We may share information only in the following limited circumstances:
- Service providers: We work with trusted third-party vendors (including Google, Supabase, Twilio, and Stripe) who assist in operating our Services under confidentiality obligations. These providers are contractually required to protect your information and may only use it to perform services on our behalf.
- Business clients:Information collected through our AI Receptionist is shared with the specific business that has engaged our Services, for that business's operational purposes (e.g., contacting you about your appointment).
- Legal requirements: We may disclose information if required by applicable law, regulation, legal process, or governmental request.
- Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
5. Data Retention
We retain personal information for as long as necessary to provide the Services and fulfill the purposes described in this policy, or as required by law. Call records, lead data, and SMS communication records are retained for the duration of the customer relationship plus 12 months, unless earlier deletion is requested. SMS opt-out records are retained for a minimum of 10 years to comply with applicable regulations.
6. Security
We implement commercially reasonable technical and organizational security measures to protect your information from unauthorized access, disclosure, alteration, or destruction. These measures include encryption in transit, access controls, and secure credential management. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
